Library
The Library is the one place every file you upload, import or receive lands. Upload, group files into collections, share them inside or outside Akili, and feed them to chat and knowledge bases from here.

Short answer
Upload a file
- Step 1
Open the Library
Choose Library in the sidebar. The filters at the top switch between All, Mine, Shared with org and Shared (files other people gave you). - Step 2
Add the file
Drag files onto the page or choose Upload. Images, video, audio, PDF, Word, Excel and PowerPoint files, plain text, CSV, Markdown and JSON are accepted. You can also import files from OneDrive or SharePoint; the import copies the bytes into your Library and runs the same checks as an upload. - Step 3
Answer the duplicate prompt, if it appears
If you already own a file with the same name and size, a dialog offers Upload anyway or Keep the one I have. The check never blocks you; it only asks. - Step 4
Wait for the safety check
The card shows Checking file… until the malware scan finishes, usually within seconds. A clean file loses the badge and can be opened, shared and indexed.
Limits, duplicates and the safety check
File size
Two limits apply to every upload and the smaller one wins: the per-file limit of your plan, and a per-category cap your administrator can tune. An upload that is too large fails with a message that names the limit and the category.
| Plan | Per-file limit |
|---|---|
| Free | 5 MB |
| Pro | 10 MB |
| Max, Starter, Team | 25 MB |
| Business | 50 MB |
| Enterprise | Category cap only |
| Category | Default cap |
|---|---|
| Images | 10 MB |
| Documents (docx, xlsx, pptx, txt, csv, md, json) | 25 MB |
| 50 MB | |
| Audio | 100 MB |
| Video | 2 GB |
Duplicates
Before the upload starts, Akili looks for files you own with the same name and the same byte size. It does not compare contents, so a renamed copy slips through and an edited file with an identical size triggers the prompt. Either way the choice is yours.
The safety scan badge
Every file that enters the Library, whether uploaded, imported or added to a knowledge base, is registered with the malware scanner. The badge on the card tells you where it stands.
| Badge | Meaning |
|---|---|
| Checking file… | The scan is still running. The badge refreshes on its own; the file opens once it is clean. |
| Blocked | The file failed the security scan. It cannot be opened, previewed or shared. |
| Check failed | The scanner could not finish. An administrator decides whether the file is released. |
| No badge | The file is clean, was uploaded before scanning existed, or the scanner skipped its type. |
Organize with collections
A collection is a named group of files with a description. Collections are flat, a file can sit in several, and they live inside the Library page rather than on a route of their own.
- Step 1
Create the collection
In the Library, open the collections area and choose New collection. Give it a name and, if it helps, a description. - Step 2
Add files
From a file’s menu choose Add to collection and pick one or more collections. Remove a file from the collection the same way; the file itself stays in the Library. - Step 3
Share the whole set
A collection has its own share dialog: invite people by email with view or download rights and an optional expiry date, or create a public link that lists every file in it.
Share a file or collection
Open a file’s menu and choose Share. Sharing needs a verified email address on your account. Each destination is a separate action, so one file can be emailed to a colleague and copied to Drive at the same time.
| Destination | What it does |
|---|---|
| Invites one address. The recipient signs in to open the file, so the link cannot be forwarded to someone else. | |
| Link | A public link anyone can open without signing in, until you revoke it. |
| Team | Grants every member of your organization access at once. |
| QR code | The same public link, rendered as a QR code for a slide or a printout. |
| Google Drive | Copies the file into a Drive folder you pick (the default is “Akili Shares”). |
| OneDrive and SharePoint | Copies the file into the OneDrive or SharePoint folder you pick. |
Two permission levels exist: view and download. The file share dialog grants view; the collection share dialog lets you choose. A public link opened by the owner always allows download.
What a recipient sees
A public file link opens at /library/shared/<token> and shows the file name, an inline preview for images and a download button when the grant allows it. A shared collection opens at /library/collections/shared/<token> and lists its files with a download link per file. A link that was revoked, expired or sent by email to someone else shows an unavailable state instead of the file, and a file that is still being scanned or was blocked is never served.
Use a file in chat or a knowledge base
Add to a knowledge base
From a file’s menu choose Add to knowledge base. The dialog lists your knowledge bases, marks the ones the file is already in as Already added or Indexing…, and starts indexing on the one you pick. Indexing runs in the background and only begins after the safety scan is clean. See Knowledge bases for what happens next.
Ask about this file
Ask about this file opens a new chat with the file already attached: it shows as a chip above the composer, which you can remove before sending. Type your question and send; the file goes with that message.
Files in projects
Files you add to a project are Library files underneath: a project upload lands in your Library first and is then linked into the project’s file tree. See Projects.
Search everything
Open Search (the /search page) to find a document by name or by meaning. It looks across your Library, your knowledge bases, files attached to chats and project files, and the Semantic toggle switches from name matching to matching on what the document says.
Good to know
- Imports copy, shares copy. Importing from OneDrive or SharePoint copies the file into Akili, and sharing to Drive or SharePoint copies it out. Nothing in the Library is a live link to a cloud folder; use a project’s connected SharePoint folder for that.
- Team sharing follows your organization. The Team destination grants everyone who is a member of your organization at the moment you share. People who join later are not added automatically.
- Knowledge base uploads appear here too. A document uploaded straight into a knowledge base is mirrored into the Library, so one place holds everything you have given Akili.
- A blocked file stays blocked. There is no override for a file the scanner flagged. If a file you trust shows Check failed, ask an administrator to release it.
- The Library is per person. Your files are yours; colleagues only see what you shared with them or with the team.
Frequently asked questions
Does the Library count against a storage quota?
Each plan sets a maximum size per file, and your administrator can lower the per-category caps. The total storage figure on the pricing page describes the plan; today the per-file limit is what the upload checks.
Why does the duplicate warning appear for a file I changed?
The check compares the name and the byte size of files you already own, not the contents. A revised file with the same name and an identical size looks like a duplicate; choose Upload anyway to keep both.
Can I put a password or an expiry on a public link?
Public file links have no password and no expiry; revoke the link to close it. A collection shared by email can carry an expiry date, and a file shared by email can only be opened by that signed-in recipient.
Does deleting a file from the Library remove it from my knowledge bases?
No. Adding a file to a knowledge base indexes a copy. Deleting the Library file leaves the indexed document in place until you remove it from the knowledge base.
Are collections nested?
No. A collection is a flat, named group with a description. A file can belong to more than one collection, so use several collections rather than folders inside folders.
